Contracts & Tenders Specialist

Responsibilities:
- Coordinate preparation of tenders in accordance with customer requests and public procurement laws
- Coordinate preparation of quotes in accordance with customer requests for quotes
- Create & maintain contracts in ERP system and related tracking tools according to company policy
- Check and validate all information for the quote is provided and if not escalate to the right team
Ensure the following transactions are done to the highest standard, with accuracy and reducing transaction times:
- Prepare and issue customer quotations based on pricing approved by the sales team, ensuring accuracy and compliance with internal policies.
- Manage the full tendering process, including the preparation and submission of tender offers in line with specified requirements and deadlines.
- Collect, review, and organize all required tender documentation to ensure completeness and compliance with client and regulatory standards.
- Coordinate contract creation and administration, both within the ERP system and through physical documentation processes.
- Maintain accurate records of contracts, tenders, and quotations, ensuring proper documentation and traceability.
- Maintain and update internal trackers on a daily basis to ensure accurate, real-time visibility of contracts, tenders, and order statuses.
- Collaborate closely with sales, legal, and finance teams to ensure contract terms and pricing align with company policies.
- Monitor deadlines and ensure timely submission of tenders and contract-related documentation.
- Support audits and internal reviews by providing organized and up-to-date contract and tender documentation.
- Manage reagent rental contract instrument orders, including order creation, tracking, and ensuring accurate fulfillment.
- Oversee asset lifecycle processes related to reagent rental agreements, including coordinating and documenting the return of instruments in both the ERP system and physical records.
Qualifications:
- Excellent Communication skills in English & native Polish
- Strong communications and interpersonal skills needed
- Advanced level Microsoft Excel skills
- SAP experience desirable
- Experience dealing with customers including quoting, order processing and tracking delivery and quality performance
- Able to work efficiently with cross functional teams
